Sharing Account Items

The webmail Sharing feature lets you give others access to items in your account. You specify which items to share and the level of access. You invite a user to share, and the user can accept or decline the invitation. The Sharing page under Settings helps you manage your shared items. This page shows the folders you shared with others and folders that are shared with you.

 

You assign internal users or groups privileges using roles. The user or group must have a valid address in your organization’s mail server.

 

View
     Users can view all emails under the shared folder but cannot make changes to that folder.

View, edit, add, and remove
     Users have permission to view and edit the contents of a folder, create new subfolders, present items on your behalf, and delete items from the folder.

View, edit, add, remove, and administer
     Users have permission to view and edit the content of a shared folder, create new subfolders, present on your behalf, delete items from the shared folder, and share the folder with others.
 

Please Note: You can share any of your mail folders, calendars, address books and task lists except the Trash and Junk folders.

 


We have included step-by-step instructions below on tackling the most common Item Sharing tasks (see them listed directly to the right). Click on a task description (e.g., Sharing a Folder) and it will allow you to jump to specific instructions below. Then, click the browser back button to return to the top of the page.


You can share your email folders with others and grant them controlled access.

  • In the Left Sidebar, right-click a folder to share.

  • From the context menu, choose Share.

From the Share Inbox menu:

  • Choose appropriate permissions from the Sharing Permissions drop-down.

  • Enter the email address(s) with whom to share the email folders.

  • Click Save for changes to take effect.


If the recipient declines the share, you receive a notification email. Similarly, when you revoke the share, the recipient also receives an email notification.

When you revoke access to a folder you shared, the folder appears with a strikethrough to receivers of that shared folder.


How to edit Sharing Settings

You can change the sharing privileges that you have assigned to a user or group, revoke sharing, and manage shared folders from the Settings menu. Navigate to Settings from the top right Gear icon.
 



Click the Sharing tab on the left side. From here, you can view both the items shared with you as well as the items you have shared. 
  • To accept a newly shared folder, you will need to click the green Accept button
  • Click the three dots to view more details on the items that have been shared with you.
  • Click the three dots to edit the settings of folders shared by you.



Click Save once changes are complete.
